A trade credit platform served suppliers, buyers, and advisers—each requiring unique journeys. Despite a powerful stack (GHL, n8n, AWS, Retell), they lacked a unified architecture.

Workflow sprawl led to duplicate comms and inconsistent lead states. The tech lead needed a systematic architect to define governance and orchestration without adding technical debt.

Event‑Driven State Machine Orchestration

I designed a state machine that orchestrated leads across 5 systems, treating the CRM as a UI layer rather than a monolithic master source:

  • 01. 9-Stage Lifecycle Model — Defined clear Lead-to-Onboarded stages with strict entry/exit criteria for every persona.
  • 02. Event Bus Architecture — Built using AWS EventBridge and n8n webhooks to centralize state changes as API calls.
  • 03. AI Calling Orchestration — Automated outbound triggers via Retell/Twilio for stalled proposals and high-value SQLs.
  • 04. Predictive Lead Scoring — Behavioral and third-party credit signals weighted to predict and prioritize onboarding likelihood.
